As an admin user, one of the initial tasks you'll undertake in your Finfare account is creating charge cards. This feature is crucial to familiarize yourself with, as it empowers you to steer your company's spending in the right direction.
We all have unique spending habits as individuals and companies, and employing new strategies to track and optimize spending effectively is vital. Before creating cards, you’ll want to ensure you’ve added employees who you’ll assign cards to under the “People” section of your Finfare account. Learn how to Add People to your Finfare account.
Here are the steps necessary to create a charge card for any employee or specific purpose:
- From the Cards View, click the “Create a Card” button
- Select an employee to assign this card to
- Select PHYSICAL or VIRTUAL card
- From here, you can select a saved card template -or- create a custom card
Creating a Custom Card
Add a Card Nickname:
This might simply be the person’s name or could be named for the card's specific use. For example, if your company often makes purchases on Amazon, you may want to create a card for this particular purpose naming the card, “Amazon” or “Amazon Purchases”. Alternatively, you might want to create a card specifically for “travel expenses” and might name the card, “John’s Travel Expenses”.
Enter a Card Limit:
Enter an amount that makes sense for this specific use case. The card limit cannot be exceeded in a specific timeframe you set under Frequency.
Frequency:
Do you want the card limit refreshed daily, weekly, or monthly, or might it be a one-time gift card?
The card will reset depending on the date you created the card and the frequency you selected. As an example, if you create a card on a Tuesday, the 25th of the month:
- Daily frequency: resets 00:00:00 PST every day
- Weekly frequency: resets 00:00:00 PST every Tuesday
- Monthly frequency: resets 00:00:00 PST every 25th of the month
View your reset date for each card by clicking on the card itself from the “Cards” section. Look for the “Scheduled Reset” date.
Transaction Amount Limit:
Enter a transaction amount limit. A transaction limit refers to the maximum amount of money that can be spent or transferred in a single transaction using a payment card or electronic payment method. It is a security measure implemented by card issuers, banks, or payment processors to protect against unauthorized or fraudulent transactions.
Restriction Controls (Optional):
While optional, this is a powerful tool that enables you to either set merchant categories that are “allowed” or “blocked” for the card(s) you create. If you create a card specifically for Amazon, for example, you might want to limit the “allowed” category to “General Merchandise”. This can help limit the potential for future fraud. Another example might be that you want to either allow or disallow travel-related expenses. If you have an employee who frequently travels, it might be good to limit that card to categories such as:
- Airlines
- Automobile rentals
- Entertainment
- Fuel & Gas
- Grocery & Supermarket
- Lodging
- Restaurants
- Travel Miscellaneous
Alternatively, these may be categories you wish to block for an employee/card that has no need for travel expenses.
- Once you’ve added all the necessary card options, click ‘next step’ to continue card creation.
- Then, you are able to write a note about this card, if you wish, before completing the card creation by clicking ‘Create Card’.
As an accountant or employee, you may find a need to request a charge card from your employer. Once your employer has added you as a user on their Finfare Money account, you can request a card through your online portal.
- On the left menu, select “Cards”
- Click, “Request Card”
The instructions for requesting a card closely resemble the card creation instructions used by administrators. Refer to the definitions provided for each section above, and simply complete the required information accordingly.
Approving Charge Card Requests
As an administrator, you may occasionally receive requests from employees for charge cards. These requests appear in your Finfare Money account under the “Cards” section. Let’s walk through how to approve these requests.
